Managing Custom Reports

πŸ“˜ This describes how to manage custom reports in Botify. The CustomReports capability is available with all Botify plans.

Overview

After creating a custom report in Botify, you can easily make changes and share the report with others. Access your custom reports by navigating to CustomReports > Manage Your Reports. This view provides tiles for each report, ordered alphabetically. This view is linked to the full reports in the "Your Custom Reports" section, to which you can navigate directly; however, most of the functions described in this article exist in the "Manage Your Reports" section.

Editing Custom Report Details

You can change the following custom report details:

Changing the Report Title and Description

  1. Click the report's name in the "Manage Your Reports" section or navigate directly to the report tile in the "Your Custom Reports" section.

  2. Click on the report name or description to edit the text, then click the checkmark.​

Changing Report Crawl Dates

You can change the selected crawl dates to view how the data appears in a different period immediately. To change the report dates, use the date dropdowns in the report header to select new dates.

Changing report dates may affect data availability in your report components since the data may no longer be applicable.

Reordering Report Components

To change the order in which report components appear in the report:

  1. Navigate to the report component tile in the "Your Custom Reports" section.

  2. Click and drag the tile to the new location in the report.

Resizing Report Components

Custom reports can include up to three report components per row. When a report row includes one or two components, you can drag the right-hand side of the component to increase or decrease its width. If resizing a component leaves insufficient space for the other component, it is moved to the next row.

Cloning Custom Reports

To clone a custom report to another Botify project:

  1. Click Clone on the report tile in the "Manage Your Reports" section; or

    Click Clone in the report header:

  2. Type or search for the project's name where the report will be copied. The report is cloned immediately.

Exporting Custom Reports

To export the report as a PDF file, click the PDF icon in the header of the "Your Custom Reports" section. The export begins immediately and downloads when complete. The export is also saved to the DataExports capability.

Deleting Custom Reports

To delete a custom report:

  1. Click Delete on the report tile in the "Manage Your Reports" section; or

    Click Delete in the report header:

  2. Click Yes, Delete Report in the confirmation dialog. The custom report is deleted immediately and cannot be undone.

Emailing Custom Reports

You can have your reports automatically sent to selected project team members after your next crawl is complete or at your preferred interval.

To email a custom report:

  1. Click Schedule Email in the header of the "Your Custom Reports" section.

  2. Select the checkbox next to a team name to send the report to all team members, or select individual team members. Select individual email addresses instead of the team name to send to only some team members. If recipients are members of multiple teams selected to receive the report or selected as both team members and individuals, they will only receive the report once.

  3. Select when to send the email:

    1. After every scheduled crawl (based on crawl settings); or

    2. Repeat at a selected interval.

  4. Click Update. The report will be sent to the selected recipients at the selected frequency. If a crawl is currently scheduled, the tooltip next to the first frequency option shows the date of the next scheduled crawl.

Updating Email Recipients

When an email is scheduled, the icon at the top of the page updates to indicate the scheduled status:

  1. Change selected recipients by repeating the process above any time before the next scheduled crawl begins.

  2. Click Reset selection to remove any changes made since the last update, or Clear all to remove all selected recipients.

  3. Click Update.
